Appraiser notes

While you are viewing an appraisee's appraisal you can make notes on certain items by using the Appraiser Notes function. You can use Appraiser Notes to make personal annotations and share notes, tips and advice with your Appraisee.

Private notesShared notes

These notes are personal to you. You should use them to make personal annotations when reviewing the appraisal evidence.

Nothing you write as a Private Note will be visible to anyone else in the appraisal process, even after the appraisal is completed.

These notes are visible to your appraisee at all times. As soon as you add the note, it is published to the appraisee so they can read it and begin preparing to make any necessary changes

If you revert the appraisal status to "entering evidence", the notes will stay visible so the appraisee can read them when editing their evidence.

Once the appraisal is completed anyone with the correct permissions (some Administrators, the Responsible Officer, future Appraisers etc) will be able to view these notes.

You can add a note to a whole section of the appraisal or against individual items.

Adding Notes

To add a Section Note:

  • View the appraisal and go to the section you wish to review
  • Click 

  • Enter your personal annotations into the “Private Notes” text box, and any shared notes into the “Shared Notes” text box
  • Click

To add a note to an individual item:

  • Click  to the left of the item in the table, or view the item and click  at the top of the page.
  • Enter your personal annotations into the “Private Notes” text box, and any shared notes into the “Shared Notes” text box
  • Click

Viewing/Editing Appraiser Notes

To view/edit a note:

  • Click  (or  for an item note)
  • Make your changes in the text box and click 

Deleting Appraiser Notes

  • Click  (or  for an item note)
  • Delete all of the text and click

Adjusting CPD

As an Appraiser you can adjust an appraisee's CPD scores if you feel they are

To adjust CPD scores:

  • Click
  • Enter new values into the "credit" and "planning" text boxes.

You can also change whether credits are marked as internal or external, or whether impact is claimed if these settings are enabled in your organisation.

  • Once you have made your changes, click

Messages

To access your inbox:

Click “Messages” in your top menu bar

New, unread messages are highlighted in bold text

Old messages you have already read are in regular font.

Actions

To read a message:

  • Click  in the actions column.
  • Click  or
  • Click  to leave the message as unread.

 

 

  • To delete a message, click the arrow to show the drop down menu, and click

Please Note: You will not be asked for confirmation before deleting a message, and once it has been deleted it cannot be retrieved.

Post appraisal (ORSA) feedback

Once you have completed the appraisal, your Organisation may require you to complete a feedback questionnaire to allow them to adjust their appraisal process according to the thoughts of their members.   

If ORSA questionnaires have been enabled by your organisation you will be prompted to complete it after signing off the appraisal.

The questions focus on:

  • How long the appraisal took
  • the organisation systems and support
  • Your skills as an Appraiser

Appraisal meetings

We have updated our appointments feature and added new, easy to use, functionality to afford you greater control over booking your meetings.

Appointments have been renamed “Appraisal Meetings” and you can now make slots available to your Appraisees according to time and date.

 

To add your availability:

  • Click Appraisal Meetings in the top menu bar
  • Click “availability” in your left navigation bar
  • Click

  • Enter the date, time and location into the fields

You can make each slot available to all of your Appraisees, or choose individual Appraisees to offer the slot to.

  • Click “All Appraisees”

Or

  • Click “Selected Appraisees” and choose which Appraisees to make the appointment available to
  • Add any notes into the text box

  • Click

To view your upcoming appointments:

  • Click “Upcoming Meetings” in the left navigation bar

You can now export your booked appraisal meetings to your external calendars, including outlook and google:

  • View the meeting and click  in the top right corner of the page.
  • Select the calendar you want to export your meeting to

Please note: If your meeting changes date/time/location in Appraisal Toolkit for Nurses, the changes will not be carried through to your external calendar.

To view a list of Appraisees that have not yet made an appointment:

  • Click “Appraisees without Meeting” in the left navigation bar
  • You can filter your Appraisees by their appraisal due date – simply click one of the options (as shown below).

You can send a reminder to Appraisees that have yet to book a time slot for their appraisal meeting. Simply:

  • Tick the boxes next to any Appraisees you want to send a reminder to
  • Click

 

To view your past appointments:

  • Click “Past meetings” in your left navigation bar
  • You can search for a particular meeting using the search bar at the top of the page.

 

Managing your appointments:

  • You will receive an alert on your homepage if you have an appraisal due within the next 4 weeks and the Appraisee has not yet booked an appointment. You can send a reminder to them straight from your homepage by clicking
  • Your Appraisees can request you to create more meeting slots if all of your open slots are booked. You will receive an alert on your homepage. Click to open more for them.

Changing Meeting Details:

If an appraisal meeting has been booked, you can suggest a new time or location for to your Appraisee:

  • View the meeting details
  • Click

Or

  • Enter the new time or location and click  

Your Appraisee can accept or reject these changes. If they reject them they can suggest their own adjustments which you can accept or reject.
