FAQs
Click the links below to read some FAQs that may answer any questions you have about migrating your data and using your Clarity account.
Consent
If you are eligible for migration, you must provide consent for your data to be transferred to Appraisal Toolkit for GPs, it is best to do this before the system goes live but can be done within the read only version of the RCGP Revalidation e-Portfolio. It can take up to 1 hour for Clarity to verify consent made within the RCGP Revalidation e-Portfolio.
You will still be able to give consent. Please login/register to Appraisal Toolkit for GPs. Once you login we will be able to present you with a link to grant consent within the read only version of the RCGP Revalidation e-Portfolio.
If you do not want to have your RCGP Revalidation e-Portfolio data transferred then you can dismiss the notification you will see when you first log into the Appraisal Toolkit for GPs by clicking on the ‘Dismiss this notification’ button.
Migration
If you have already given consent for your data to be transferred and have registered to use Appraisal Toolkit for GPs, you will be given the option to migrate your current RCGP Revalidation e-Portfolio data onto the Appraisal Toolkit for GP’s when you first log in. Click the green ‘Begin migrating RCGP data’ button so start moving your data to your Appraisal Toolkit for GPs account. You will be asked to enter your RCGP password to verify the data being migrated, and the data will be available within 1 working day.
When you verify your data migration the data will be available within 1 working day.
When the data migration is complete, you will see the appraisal appear on the system, this will be in the same status as your RCGP Revalidation e-Portfolio appraisal.
When you first log in to the Appraisal Toolkit for GPs after registering you will be given the option to either begin migrating your RCGP Revalidation e-Portfolio data or to dismiss the notification.
If you click on the ‘Dismiss this notification’ button you will not be asked about data migration again and no data will be migrated.
Documents from the RCGP Revalidation e-Portfolio that could not be mapped to Appraisal Toolkit for GPs will be available in the ‘Documents’ section under ‘RCGP Rep Items’ on the left menu of your current appraisal.
If an Exceptional Circumstance was recorded in RCGP Revalidation e-Portfolio then this data will be available to view in ‘Exceptional Circumstances’ under ‘RCGP ReP Items’ on the left menu of your current appraisal.
We have endeavoured to minimise disruption to your data, however some of the sections within the Revalidation e-Portfolio do not exist within Appraisal Toolkit. The tables below details where you can find your CPD items within your portfolio or appraisal.

Migrated items can be deleted if they are part of an ‘In progress’ appraisal
Migrated items can be edited by clicking on the ‘Edit’ link in the actions column but the ‘Additional Data from RCGP Rep’ on an item cannot be edited.
In the RCGP Revalidation e-Portfolio, you could claim CPD points for Complaints but this is not an option on Appraisal Toolkit for GPs. As this was available on the RCGP Revalidation e-Portfolio, the Complaint items have also been added to the CPD event section so you can still claim the CPD points.
If you had already started an appraisal on the Appraisal Toolkit for Doctors before the data migration took place, then the data transfer will have created a new appraisal which will contain your migrated data. Please contact our Customer Support Team on 0845 113 7111 who will be able to assist in merging the data into one appraisal.
Migrated completed appraisals can be found in the Historic Appraisal section. Please follow the link below for instructions to view these (link to Historic appraisals).
Appraisal Toolkit for GPs does not include this category in the Quality Improvement Activities section, so data migrated from the RCGP Revalidation e-Portfolio system for this category has been added to the CPD Event section.
In the coming weeks this will be possible.
The data from the reflection tab in the RCGP Revalidation e-Portfolio can be found in ‘Additional Data from RCGP Rep’ at the bottom of the Details page of each migrated item.
MSF
Migrated MSF cycles can be found in the ‘MSF’ section on the top blue menu on Appraisal Toolkit for GPs.
Yes, if your feedback cycle was open or in progress on the RCGP Revalidation e-Portfolio then the status will be the same on Appraisal Toolkit for GPs.
Yes, when your Patients/Colleagues click on the link in the email request to complete the questionnaire, they will still be asked to enter the code in their email and will be taken to the online questionnaire to complete.
The MSF section on Appraisal Toolkit for GPs does not include a section to add an additional comment to MSF cycles. If you had entered comments into your migrated Colleague/Patient feedback cycle on the RCGP Revalidation e-Portfolio, then these will be available in the cycle results. Appraiser FAQs
If the appraisees have registered, given consent, and migrated their data, then yes. If an appraisee has not followed this process then you will not be assigned to them until they do.
