As an Appraisal Administrator you can customise Appraisal Toolkit to fit the settings of your organisation
Click "Organisation" in the top menu to go to the Organisation area.

The Organisation area of Appraisal Toolkit allows you to add users to your organisation, customise appraisal and MSF settings and manage your users.
Use the links below for more information on:
Revalidation datesTo view a list of appraisees that have not yet entered their Revalidation date, or to manage the dates appraisees have entered into Appraisal Toolkit:
- Click Organisation on the top menu

- Clicking Yes will filter the apprisees to show only those who have entered their revalidation date
- Clicking No will show only the appraisees that have not yet entered their revalidation date
You can sort the table alphabetically according to name, by GMC number or by their last revalidation date by clicking the headings.
You can set an appraisee's revalidation date for them by clicking

To invite users to join your organisation

Image Added - Enter the email address(es) of those you want to invite to join. Separate multiple addresses with a comma or semicolon. Please Note: you must send the email to the addresses that they will use to register (e.g. their NHS account)
- Enter a personalised message
- Click

The appraisee(s) will be sent an email (including your message if you added one) inviting them to join Appraisal Toolkit as part of your organisation. You can monitor how many appraisees have accepted your invitations, how many have rejected the invitation and how many have not yet responded. |

Resending Invitations
You can resend invitations if the recipient has not responded within 4 days.
- Click
Image Added - Tick the boxes next to any email addresses that you wish to re-send invitations to
- Click the blue "Resend" button

Adding usersAs an administrator you can add current users to your organisation and assign them roles. You can only add users who currently use Appraisal Toolkit, either within your organisation or as part of another.
To add a user's role to your organisation

- Go to the Organisation area of Appraisal Toolkit
- Click Add Appraisee (or the role you want to allocate to the user) in the left navigation bar
- Search for the user using their name, email address, or GMC number using the search box at the top of the page
- Click

DepartmentsAs an Appraisal Administrator you can sort your appraisees into Departments:
- Click “Organisation” in the top menu bar
- Click “Manage Departments” in the left navigation bar
To add a department
- Enter a name for your department
- Click

Image Added - Search for the appraisees you wish to assign to this department using the search function
- Tick the boxes to the right of any appraisees you wish to add

Organisation settingsYou organisation settings can be configured to personalise Appraisal Toolkit to your organisation. You can adjust your:
- Appraisal Configuration (settings linked directly to appraisals within your organisation)
- Optional Appraisal Features (Enable and disable appraisal features to meet your organisation's requirements)
- MSF Settings (Adjust settings to change how MSF is managed within your organisation)

Appraisal Configuration
- Choose how you want appraisal evidence to be collected
- Choose how you want the appraisals for your organisations spread out
- Choose whether you want Appraisal Toolkit to automatically create new appraisals for appraisees when their current appraisal is signed off
- Choose whether you want Appraisal Toolkit to automatically allocate the same Appraiser to new appraisals.
- Chose whether Appraisers can appraise the same appraisee in consecutive years.
- Determine how many appraisals an Appraiser can perform in an appraisal period
- Determine how many times an appraisee can be appraised by the same Appraiser.
- Appraisal self management - Choose whether to give your appraisees permission to adjust their appraisal evidence dates themselves.
- Auto-create appraisals for new users - Chose whether to set Appraisal Toolkit to auto-create an appraisal for newly registered users in your organisation.

Image Added icon next to each option on your Appraisal Toolkit screen.

Optional Appraisal Features
Choose to enable or disable
- GMP Attributes and Assessment
- If you enable this setting, appraisees can map each item in their appraisals to the domains set out in Good Medical Practice
- ORSA Feedback
- If you enable this setting, your appraisees and Appraisers will be required to complete Clarity's ORSA questionnaire, giving you feedback regarding your organisation's appraisal process.
In secondary care only you can also choose to enable or disable:
- CPD Claim Impact (this is always enabled in primary care)
- If you enable this setting, your appraisees can claim impact and double their CPD score for activities that have impacted their patient or their practice. Impact can also be adjusted by Appraisers.
- CPD Internal/External
- If you enable this setting, your appraisees will be required to specify whether CPD points are accrued internally or externally.
Changes you make will be saved automatically.
MSF Settings
You can adjust the MSF settings to comply with your organisation's MSF process. Choose:
- The minimum required number of Patient and Colleague responses per cycle
- To enable or disable paper-based MSF
- If you enable this setting your appraisees can buy paper MSF packs from Clarity to collect feedback from patients. Click here for more details.
- If you have enabled Paper-based MSF you can pre-order paper packs for your appraisees. Click
